This policy sets out how The Wisley Foundation (the “Foundation”) uses and protects any information that you give the Foundation. By visiting this website or accessing or using our services, you are accepting and consenting to the practices described in this privacy statement. 

The Foundation is committed to ensuring that your privacy is protected. Should we ask you to provide certain information by which you can be identified, then you can be assured that it will only be used in accordance with this privacy statement. 

This policy was last reviewed in January 2023. The Foundation may change this policy from time to time by updating this page. You should check this page from time to time to ensure that you are happy with any changes. 

 

What we collect 

 

The data we may collect includes data on donors, persons putting forward potential charitable organisations to make grants to, persons applying for grants on behalf of charitable organisations and data relating to charitable organisations, including their trustees, employees, volunteers and beneficiaries. This data covers : 

  • Name and title 

  • Contact information including addresses, telephone numbers and email addresses 

  • Financial identifiers of donors, such as bank account numbers and payment/transaction identifiers 

  • Information that you provide to us when you complete our contact form, specifically where applications for grants on behalf of charitable organisations are made, or visit our website, including by way of cookies, see below. 

In addition to data supplied by persons making applications, we also collect data, including images, by other means where considered appropriate, including on-site visits, from presentations, referees, beneficiaries and on occasion their close family members, other charitable organisations who have previously made or considered making grants to the applicant and from publicly available sources. Where prior written consent has been given from the relevant persons, we may also collect data, including images, to promote the Foundation’s activities. 

 

What we do with the information we gather 

 

The ways we plan to use your personal data are set out below: 

Purpose activity: To receive donations and for acknowledging receipt of donations. We will use the personal data collected only for the purpose of accounting and record keeping purposes of our donors, and for the purpose of claiming Gift Aid on donations. 

Purpose activity: To assess and make grants to charitable organisations and to carry out post-grant impact assessments. We will use the personal data collected only for the purpose of fulfilling the Foundation’s purpose of supporting such charitable organisations. 

Purpose activity: To publicise the grants made to charitable organisations. We will use the personal data collected only for the purpose of publicising the charitable organisations supported by the Foundation. 

Purpose activity: To improve the operation of the Foundation website. We will use the personal data collected, principally through cookies, see below, to improve the browsing experience of the Foundation website. 

Purpose activity: To appoint trustees for the Foundation. We will use the personal data collected only for the purpose of allowing the appointed trustees to fulfil their roles as trustees.   

 

Sharing personal data

We will never share any information we hold about you for any marketing purposes. We will not sell, distribute or lease your personal information to third parties unless we have your permission or are required by law to do so. The Wisley Golf Club (the “Club”) is a third party that provides administrative and accounting support to the Foundation, fundraises for the Foundation, including the holding of Club events for its benefit, and communicates to Club members. Personal information in relation to donations obtained from members of the Club and guests, and for other activities related to the aims of the Foundation, is held by the Club. The Club and its external advisers, therefore, have access to personal information in accordance with this Privacy Notice and are permitted by applicable data protection laws. Other third party providers, including the Independent Examiner, also have access to personal information in accordance with this Privacy Policy and are permitted by applicable data protection laws. 

 

Controlling your personal data

If you have previously agreed to us using your personal information for direct marketing purposes, you may change your mind at any time by writing to or emailing us at info@thewisleyfoundation.com 

 

How long we keep your personal data for

We will only keep your personal data for as long as necessary to fulfil the purposes we collected it for. Including for the purposes of satisfying any legal, accounting or reporting requirements. 

 

Security

We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect. Should a breach of personal data occur, whether it is you or someone else, and it is likely to result in a risk to the rights and freedoms of individuals, then we will notify the Information Commissioner’s Office within 72 hours.  

 

Your rights and subject access requests

The data protection laws give you certain rights over your personal data and how we can use it. 

These include: 

  • The right of access to a copy of the information we hold about you, 

  • The right to ask us to correct inaccurate information that we hold about you, 

  • The right, in certain circumstances, to object to specific uses of your data, and 

  • The right, in certain circumstances, to request the information that we hold about you to be deleted.

We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights), however, we will try to respond to all legitimate requests within one month. If it takes longer than one month, we will notify you and keep you informed. 

If we are not able to deal with your concerns, you have the right to make a complaint at any time to Information Commissioner’s Office (ICO), the UK Supervisory authority for data protection issues (www.ico.org.uk).
